Our Ideal Candidate

The Accounting & Operations Associate is a mid-level experienced individual, who will be responsible for maintaining and supporting the accounting and benefits administration systems for Beyond Differences. The individual will be part of a small finance team and should be self-directed, flexible, easy to get along with, and passionate about the mission and programmatic work of Beyond Differences.

The ideal candidate will have a strong accounting background, excellent analytical skills, a deep understanding of Excel, experience with QuickBooks Online, and possess knowledge of technology applications that automate and streamline processes. Beyond Differences is a growing organization. The individual will be asked to work in a hybrid environment and should live in the Bay Area.

Key Responsibilities:

Financial Systems and Bookkeeping

  • Cash receipts processing: recording receipts and working in partnership with the development team to optimize process flows for appropriate entry into Salesforce.
  • Cash disbursements processing: using Bill.com (accounts payable platform), process vendor invoices and payments; tracking contractor payments and assisting with annual 1099 reporting.
  • Maintain 403(b) participant data and updating contribution filings.
  • Assist with annual workers comp audit and 403(b) filing requirements.
  • Process monthly account and bank reconciliations
  • Enter all financial data into QuickBooks Online (recording journal entries for investments, receivables, prepaids, payroll, fixed assets, payables, etc.)
  • Assist with monthly shared expense allocations and other month-end processes.
  • Assist with document preparation for annual audit and tax filings.
  • Support budget and forecasting activities as required.
  • Ensure U.S. GAAP, financial policies, procedures, and internal controls are followed and maintained.

Operations and Administration

  • Run certificates of insurance and collect vehicle insurance from employees.
  • Support Finance and Audit Committees
  • Support the Director of Finance & Operations with other administrative tasks.

Required Qualifications

  • 2-3 years of bookkeeping experience in a small or medium business setting
  • BS in Business Administration, Accounting, or similar field of study.
  • Proficient in QuickBooks Online
  • Proficient in MS Office Suite and Google Drive, especially Excel
  • Alignment with the values and mission of Beyond Differences
  • Excellent communication skills, attention to detail and well organized
  • Ability to always maintain a high level of confidentiality regarding financial and payroll information.

Preferred Qualifications

  • Non-profit bookkeeping experience
  • Understanding and knowledge of restrictive fund accounting, a huge plus
  • Financial audit experience
  • Deep understanding of U.S. GAAP principals and financial policies
  • Experience with Salesforce
  • Appetite and comfort with solving problems and streamlining processes through technology; able to use various types of software and cloud-based applications.

Compensation & Benefits

This is a full-time, non-exempt, at-will position with a 90-day new employee introductory period. The hourly rate range for this position is $29.80 to $32.69 per hour (towards an annual salary range of $62,000 to $68,000).

4 Youth Leadership Fellow positions

Fellowship Overview

Beyond Differences® is hiring four Youth Leadership Fellows to support the National Youth Programs Department in running the National Teen Board, building out national cohorts, admissions and their annual Activist Academy. This will be at least a six (6) month commitment, ending in August 2023. The ideal fellow will have strong cross-cultural communication skills in both informal and formal settings. Under the supervision of the Director of National Youth Programming, the fellow must be self-directed, mature, easy-going, and efficient.

Responsibilities include but are not limited to the following:

National Impact Projects (50%)

  • Manage assigned National Impact Project alongside National Teen Board members.
  • Track and ensure deliverables are on time and in required format
  • Attend and co-facilitate National Impact Project meetings virtually twice a month
  • Schedule and assign National Impact Project meetings, roles & responsibilities to teen board members
  • Mentor teen board members virtually and connect them to resources

Activist Academy (30%)

  • Attend, in-person, 4-Day overnight Activist Academy, July 2023 in SF Bay Area
  • Co-lead and facilitate possible breakout sessions
  • Chaperone on-site or off-site activities/excursions
  • Co-create SEL trainings for teens

General Support (20%)

  • Attend all National Teen Board meetings (monthly virtual meetings on Sunday afternoon)
  • Maintain and update all contact lists
  • Keep our time management system (Asana) up-to-date
  • Manage and execute all mailings
  • Scheduling and administrative task for upcoming events
  • Order and organize all retreat, academy and virtual meeting materials

Preferred Skills & Qualifications

  • Fluent in spoken English
  • Access to internet connection and a working laptop
  • Proficient oral and written presentation skills
  • Experience working on multiple projects with deadlines
  • Understanding of Beyond Differences mission and programs
  • Interpersonal skills. Multicultural competencies, ability to work with diverse populations
  • Service orientation, active listening, and critical thinking skills
  • Ability to multitask: verbal communication, written communication, organization
  • Demonstrated interest in youth leadership
  • Ability to successfully complete a background check

Compensation & Benefits

  • Hourly rate $21/hour
  • 10 hours per week, schedule negotiable, except Sunday meetings
  • 4-Day Activist Academy in July 2023 that will increase to close to 40+ hours
